Privacy notice
In plain terms.

What this website collects when you ask for a demo, why, where it goes and what you can ask us to do with it.

01

The controller of the personal data described here is:

Company
Cyntheion Consultancy Corp
Address
5700-100 King St W, Toronto, ON M5X 1C7, Canada
Data protection officer
dataprotection.poker@cyntheion.com

02

Only what you type into the demo request form:

  • Name, work email and company — required, so that we know who to answer.
  • Role, markets or jurisdictions of interest, and a message — optional, to shape the demo.
  • Expected scale — one choice from a list.
  • Your consent — that the details are used to answer the request.

To protect the form from abuse, the server also uses your IP address to count requests (at most five in ten minutes). The count is held in the server's memory for ten minutes and is never written to disk or attached to your request. The server's own logs record that a request arrived, not what it contained.

The site sets no cookies of its own, loads no third-party scripts and serves its fonts itself. Our host, Vercel (Vercel Inc.), keeps standard access logs.

03

We use your details to answer your request and arrange the demo you asked for. The form does not sign you up for a newsletter or a mailing list.

Purpose
Answering your demo request and the conversation that follows from it
Legal basis
Steps you ask us to take before a possible contract (GDPR Article 6(1)(b)), and our legitimate interest in answering business enquiries (Article 6(1)(f)). In Canada, your consent under PIPEDA.

04

  • To our customer records in HubSpot. The server sends your request to HubSpot (HubSpot, Inc.), which keeps our customer records in its European data centre and tells the sales team that a request has arrived. The website does not load HubSpot's scripts or set its cookies.
  • Optionally, by email. If configured, the server also sends your request as one email through our email provider to the sales team's inbox. Replying to it answers you directly.
  • Nowhere else. The website does not keep a copy of what you send.

Your details are processed in Canada, and by our service providers, who may process them in other countries, including the United States. Canada has an adequacy decision from the European Commission; other transfers from the EU or the UK rely on the provider's certification under the EU–US Data Privacy Framework (and its UK extension) or on the European Commission's standard contractual clauses.

05

The demo request is kept for 24 months after our last contact with you, unless you become a customer, when our contract records apply. The rate-limit count disappears from memory after ten minutes.

06

Depending on where you live, you can ask us to:

  • tell you what we hold about you and give you a copy;
  • correct anything that is wrong;
  • delete it, or restrict how we use it;
  • object to how we use it, or withdraw your consent at any time — which does not affect what was done before;
  • hand it to you, or to someone else, in a common machine-readable format.

You can also complain to a data protection authority. The authority responsible for us is the Office of the Privacy Commissioner of Canada (priv.gc.ca). In the UK you can also complain to the Information Commissioner's Office (ico.org.uk), and in the EU to the authority in your country.
